Scheduling a meeting in MCB 220

Before the meeting, make sure to schedule the Zoom Room by directly inviting the Zoom Room in Outlook calendar. Make sure to include the Zoom meeting link and details.

MCB 220 is listed in USC's Outlook directory as:

Using the display screen

Before any of the steps below, be sure to turn on the display/touchscreen. There is a wall panel on the left side of the screen: simply press the ON button.

Holding a Zoom meeting

If you need to share content (e.g. PowerPoint presentations, videoclips), make sure to bring a laptop.

Hold a scheduled Zoom meeting with content sharing

Quick guide

Step 1: Connect the Zoom Room to the Zoom meeting

On the iPad controller, tap on a meeting to select it.
Tap on Start.
The Zoom Room starts the Zoom meeting as a host. The camera, mic, and speakers automatically turn on. The display screen turns on if it was previously off.

Step 2: Share content from your computer

On your laptop, open the Zoom app. Instead of joining the Zoom meeting, click on Share Screen.
If Zoom requests a Sharing Key, type the Sharing Key (displayed in the top right corner of the Zoom Room screen). Click on Share Screen.
Once you begin playing any audio content, sound should automatically come from the Zoom Room's speakers. Use the volume control on your laptop or on the iPad controller to control the volume.
To stop sharing, click on Stop Share (located at the top of the screen on your computer).

If you want to create a new Zoom meeting on the spot:

On the iPad controller, tap on New Meeting.

- Note that with this method, any recordings or statistics will be saved to the Zoom Room's account and not your individual Zoom account. The Zoom Room's meeting recordings and statistics will have to be obtained from ITS afterward.

Holding a non-Zoom meeting

If your meeting will be entirely in-person and you do not need to record it to the cloud, you can still use the Zoom Room for its Share Screen or Whiteboard features. If you need to share content (e.g. PowerPoint presentations, videoclips), you will need to bring a laptop.

Share your computer screen via cable

If the USC wireless connection is down, you can connect your laptop directly to the Zoom Room by plugging it into the HDMI cable next to the iPad controller. You do not have to press any buttons: your laptop will automatically be detected once you plug it in.

Once you begin playing any audio content, sound should automatically come from the Zoom Room's speakers. Use the volume control on your laptop or the iPad controller to control the volume.

Use the Whiteboard feature

To use the Whiteboard feature, you can use either your hand or the optional stylus pen to directly interact with the touchscreen (rather than relying on the iPad controller).

Quick guide

Tap anywhere on the touchscreen to display the Home screen.
Tap on Whiteboard.
Use the toolbar on the left side of the screen to write, erase, and clear the screen.
To save a Whiteboard image, you can email it to yourself. Tap on the Send icon (bottommost icon on the toolbar). Or tap on Close (bottom left corner of the screen) and tap on Save.
Type your email address. Then, close the keyboard by tapping on the [x] icon in the top right corner of the keyboard.
By default, the image is sent as a PNG. To change the format, tap on Sending image as PNG (bottom right corner of the screen) and select another option.
Tap on the blue Send icon next to your email address. Zoom emails you the Whiteboard image.

How to adjust the camera angle or speaker volume during a Zoom meeting

On the iPad controller, you can adjust the camera and volume during a Zoom meeting:

To adjust the camera, tap on Camera Control.
To adjust the volume, use the volume slider.

How to join if the meeting is listed in the schedule but there is no Start button

A Start button will not appear if a meeting with no Zoom link is scheduled to the Zoom Room. If there is no Start button, you can still manually join the meeting:

How to hold a Zoom meeting if USC Secure and Guest Wireless are down

The Zoom Room is connected to the Internet via USC Secure Wireless, so Zoom meetings will not work if the wireless connection is down. However, if you are using the Zoom Room not for a Zoom meeting but simply to share content from a laptop, you can simply directly connect the laptop to the Zoom Room using the HDMI cable next to the iPad controller.
