Overview
If you are responsible for managing another staff or faculty member's calendar, you can add a Zoom meeting when creating or editing an Outlook event on their behalf. In this guide, we will refer to the staff or faculty member whose calendar you are managing as the delegator.
Before you begin
Make sure that the delegator has granted you the following:
- Outlook calendar editing access
- Zoom meeting scheduling privilege

Quick guide
- Open the delegator's Outlook calendar. Create a new event, and fill out the event details.
- Select the Zoom Settings icon in the toolbar.
- Zoom opens in a side panel. Review the settings, and click Add Zoom Meeting:

Schedule for: The delegator's name should be displayed

Meeting ID: Generate automatically should be selected
- The Zoom meeting information is added to the Outlook event. You can now save or send the Outlook event.

Viewing a delegator's Zoom meetings
The simplest way to view all the Zoom meetings you have scheduled for someone else is using the Zoom website:

- The Meetings page appears. In the upper right, click Myself and select the delegator's name instead.
- The list of scheduled meetings for the delegator displays.

Editing, canceling, or deleting Zoom meetings
If an event in Outlook calendar is moved, canceled, or deleted, the Zoom meeting may not automatically update. You can use the Zoom website to manually update the Zoom meeting to reflect the updated Outlook event details:

- To edit a meeting (for instance, updating its date and time): Click the meeting to edit its details.
- To cancel or delete a meeting: Hover over the meeting you want to remove, and click Delete.
