Overview
If a faculty or staff member grants you Zoom meeting schedule privilege, you can create and edit Zoom meetings on their behalf. This feature works similarly to Outlook delegate access: you still sign into Zoom using your own USC account, but you can manage Zoom meetings hosted by the faculty or staff member, or delegator.
Additionally, if you have delegate access to the delegator's Outlook calendar, you can add Zoom meeting links to their Outlook events.
Requesting schedule privilege
The delegator must grant you access before you can manage Zoom meetings for them. You can refer them to the following step-by-step guide:
Once they have followed the guide, you can confirm that you now have access:
Quick guide
- Go to https://usc.zoom.us and click Sign in.
- If prompted, type your USC NetID and passphrase, and complete Duo authentication.
- Click Settings in the left menu. You may need to scroll down.
- Click the Meeting tab at the top. (Do not click Meeting in the left side.)
- Scroll to the very end. In the "Schedule Privilege" section, the delegator's name should appear under I can schedule for.

- Click the Meeting tab at the top. (Do not click Meeting in the left side.)

- Scroll to the very end. In the "Schedule Privilege" section, the delegator's name should appear under I can schedule for.
Using the Zoom add-in for an Outlook calendar event
If you have delegate access to the delegator's Outlook calendar, you can generate a Zoom meeting directly within the Outlook calendar event. Follow these steps to ensure that you are creating the Zoom meeting on the delegator's account, not your own:

- Open the delegator's calendar in Outlook. Create a new event, and fill in the details.
- In the top toolbar, click
Zoom and select Settings
.
- If prompted, click Allow.
- If you are prompted to sign in:
- Do not enter your email address. Instead, scroll down and click SSO.
- Type usc and click Continue.
- The Shibboleth prompt appears. Sign in using your USC NetID and passphrase (not the delegator's).
- The Duo prompt appears. Complete the authentication.
- The Zoom meeting settings open in a side panel. Under Schedule for, select the delegator.
- Review the settings, and then click Add Zoom Meeting.
- The Zoom meeting is created and added to the Outlook event. You can continue editing or send the Outlook event.

Creating a Zoom meeting on the website
To configure more advanced settings than are available through Outlook, such as meeting registration or polls, you can use the Zoom website.

- Go to https://usc.zoom.us and click Sign in.

- Click + Schedule a Meeting in the upper right.
- Next to Schedule For, select the delegator.
- Fill in the meeting details, and click Save.
- The meeting is created and the details appear. To transfer this information to Outlook calendar, you can copy the Invite Link or select the option to Add to Outlook Calendar (.ics). Make sure that you create or import the Outlook calendar event on the delegator's calendar, not your own.

Viewing and editing a delegator's Zoom meetings
You can use the Zoom website to view or edit the details of a Zoom meeting. This is useful if a Zoom meeting does not update after you make a change to the Outlook event, or if you created the Zoom meeting in Outlook but need to adjust an advanced setting such as adding registration or a poll:

- The Meetings page appears. In the upper right, click Myself and select the delegator's name.
- The delegator's upcoming scheduled meetings appear. Hover over a Zoom meeting to edit or delete it.
- To view past meetings, click the Previous tab.
- (Optional) You can also view and edit a delegator's upcoming and past webinars.
