Overview
In addition to using Outlook calendar for your individual calendar or for delegated calendars, you can set up a shared calendar. You can invite USC faculty, staff, and shared org accounts to the shared calendar, and the following levels of access are available:
- View-only access: Busy/free only (default)
- View-only access: Titles and locations of calendar events
- View-only access: All calendar event details
- Edit access: All calendar event details, with the ability to add, edit, and remove events
Once you grant someone access to the shared calendar, the person will receive an email invitation to add the calendar to their account.
Creating a shared calendar in Outlook for Windows
Quick guide
- Open Outlook, and click the Calendar
tab.
- Click Add calendar.
- In the left menu, click Create blank calendar.
- Fill out the calendar details and click Save.
- The calendar is created. Close the window to return to Outlook calendar.
- In your calendar list, right-click the calendar name and select Sharing and permissions.
- Search for and select someone to add them to the calendar.
- Click Can view all details to change the level of access, and click Share.
- The person will receive an email invitation to the calendar and can add the calendar by clicking Accept.
- (Optional) You can add more people to the calendar.

Quick guide
- Open Outlook, and click the Calendar

- Hover over My Calendars. Click the More
icon, and select New folder.
- A new blank calendar is created and appears underneath your calendar list. Double-click the calendar name to rename it.
- Hover over the calendar name. Click the More
icon, and select Sharing Permissions.
- The Permissions tab opens. Click the Add
icon.
- Search for and select someone to add them to the calendar.
- In the Permissions field, click Can view all details to select the level of access.
- Click Add.
- Click Done.
- The person will receive an email invitation to the calendar, and can add the calendar by clicking Accept.
- (Optional) You can add more people to the calendar.
