Overview
In this optional guide we review some common IT services that we offer within DTS and that you may wish to set up on behalf of a new employee. Please note that this guide is offered as general information and is in no way a requirement, as we understand that processes vary by department.
Some steps require you to have the new employee's 10-digit USC ID and USC NetID handy, as DTS does not manage or have access to this information.
This guide is intended for administrators, but you can also provide the following optional guide to your new employee when they begin:
DTS services you can request before the new employee's start date
Equipment setup
Whether you'll be ordering a new computer or re-purposing an existing computer, DTS can assist you with setup. You do not need the employee's USC NetID to request these services.
Timelines depend on whether the items you request are currently in stock—once DTS receives all of your ordered items from the vendor, it takes us approximately one week (five business days) to inventory and configure the items. From that point, shipping/delivery times just depend on the final location you provide (e.g. if you want us to deliver the order to an on-campus building or ship to an off-campus address).
Re-purpose an existing computer/tablet
If you will be reassigning an existing computer rather than purchasing a new one, we recommend that you route the computer to DTS first. We will assess and re-image the device to optimize its performance so its new user can get up and running quickly:
Generally speaking, we recommend that computers be no more than 3–5 years old.
Dornsife Account setup and Dornsife network access
We recommend requesting a Dornsife Account for the new employee prior to their start date; otherwise, even if their Dornsife computer is ready, the new employee may not be able to log in on their first day. You will need the employee's 10-digit USC ID and USC NetID to request this service.
Request a new Dornsife Account
Please submit your Dornsife Account request on behalf of the new employee through the DTS service catalog:
Please have the following information ready:
- The new employee's 10-digit USC ID
- The new employee's USC NetID
- (optional) The names of any departmental shared drive folders or printers that you want the new employee to have access to
Allow about 24 hours for DTS to process the new employee's Dornsife Account. We will send an email confirmation once the process is complete.
Software access
Standard software such as Microsoft Office, SentinelOne (antivirus software), and Zoom are already installed on Dornsife computers, but you can also purchase additional software/licenses through DTS. You will need the employee's USC NetID to request this service.
Purchase software licenses
Per the Dornsife IT procurement policy, all IT purchasing requests must be submitted through the DTS service catalog:
For a full list of available software, including the standard software included on all Dornsife computers, please review our guide, "Software at USC."
DTS services you can request after the new employee's start date
Zoom Phone number
Once the new employee has successfully signed into USC Zoom for the first time, you can request a Zoom Phone number for them:
We will route your request to ITS, who will assign the new employee a Zoom Phone number. Be sure to include in your request whether the employee will also need access to any shared lines or call queues.
Dornsife Slack access
USC employees are automatically added to USC Slack but must submit a request to get added to additional workspaces. If your department communicates using channels on either the Dornsife Slack workspace or the Dornsife Administration Slack workspace, you can request access for the new employee:
Once the new employee has joined the Dornsife Slack workspace, you will need to manually add them as a member to any private departmental channels (DTS cannot access or add members to private channels).
If you are using a workspace other than Dornsife Slack or Dornsife Administration Slack, you will need to contact the workspace admin (not DTS) to request access for the new employee.
Dornsife network drives/folders
If you already requested a Dornsife Account for the new employee and need to add access to additional folders on your department's network drive, you can do so through our service catalog:
myDornsife access
New employees automatically receive access to myDornsife, but note that it may take a few days after their start date to receive access. No further action is required on your part.
Dornsife CMS and Emma access
If the new employee will need to access the Dornsife CMS or Emma, please contact dtsweb@dornsife.usc.edu.
Additional technology services
The following services are not managed by DTS, so if your department uses them, you will need to manually set up access for the new employee:
- Google shared Drives
- Slack workspaces that are not administered by DTS
- Microsoft Teams
