Overview
If you are currently USC faculty but your status will be changing to USC affiliate (iVIP), you can prepare for the migration process by reviewing this guide well in advance of your last day as active faculty.
If you use any Google applications such as Google Drive, Gmail, or Google Calendar, you must download your Google data before your USC status changes. Once you are no longer active in Workday, you lose access to Google apps and will not regain access as an affiliate.
About the affiliate program
If your Dornsife department or Faculty Affairs is sponsoring you
Step 1: While you are still an active USC faculty member
- Confirm your separation date with Faculty Affairs.
- Confirm your eligibility for sponsorship with your department or with Faculty Affairs. Once confirmed, you will be asked to provide your personal and contact information.
- Download your Google data and transfer it to Microsoft: you will lose Google access once you are no longer a faculty member. Affiliates have access to Microsoft (up to 100 GB storage) but not Google.

Google Drive files
- ITS provides the following guide for transferring files from Google to Microsoft: Google Migration Tools. Be aware that Microsoft Mover.io is available for faculty and staff, but Google Transfer and Takeout are only available for students.
- You can also directly download files from https://usc.edu/googledrive to your computer, and then move files to your Microsoft OneDrive folder or upload them to https://usc.edu/onedrive.

Gmail messages
- If you currently use Gmail instead of Outlook, ITS provides the following guide for transferring your Gmail messages into your Microsoft 365 account: Import Gmail to Outlook.

Other Google Apps data
- If you are using other Google applications such as Google Calendar, you may want to download data from these apps as well.
Step 2: Once you are no longer an active USC faculty member
- Your sponsor submits an iVIP request in myDornsife on your behalf.
- DTS receives the request and adds you to the iVIP system as an affiliate. ITS completes the process.
- Once you are set up as an affiliate, your sponsor will contact you.
Step 3: Once you are a USC affiliate
- You can now begin using USC services again. Be aware that you may not have access to the same services you did when you were a faculty member. For more information, refer to our list of USC electronic services available to affiliates.
- If you transferred Google Drive files to OneDrive or Gmail messages to Outlook, you can access them using your USC Microsoft account.
- Check with your sponsor to confirm the end date of your affiliate status.
If the Emeriti Center is sponsoring you
Step 1: While you are still an active USC faculty member

- Contact the Emeriti Center, if you aren't already in touch with them, for sponsorship. They should let you know once you are in the iVIP system as an affiliate.
Step 3: Once you are a USC affiliate
- You can now begin using USC services again. Be aware that you may not have access to the same services you did when you were a faculty member. For more information, refer to our list of USC electronic services available to affiliates.
- If you transferred Google Drive files to OneDrive or Gmail messages to Outlook, you can access them using your USC Microsoft account.
- To regain access to the following services:

Dornsife computers, network printers, and network drives: Contact ts@dornsife.usc.edu, and we will reactivate your Dornsife Account.

Dornsife-hosted website: Contact dtsweb@dornsife.usc.edu to have your website reactivated.
