Overview
We’ve gathered the resources below to guide faculty through the steps for transferring files and returning IT equipment prior to retiring from the University.
This process can take some time, so we encourage you to review this guide well in advance of your last day. For assistance with file transfers and other technical troubleshooting, please contact the DTS Help Desk at ts@dornsife.usc.edu.
Transferring USC files to your department
At the end of your last day of employment, your USC NetID is deactivated and you lose access to your USC accounts. Before your retirement date, make sure to transfer necessary files to your department or team, as they will lose access to any files you shared with them on your accounts, including but not limited to your:
- USC Google account (including Google Drive files)
- USC Microsoft account (including OneDrive files)
- USC Zoom account (including any recordings on your account)
- Files on your U: network drive

Returning all USC-owned IT equipment
All USC-owned IT assets must be returned either to DTS or to your Dornsife department/unit. Examples of IT assets include:
- Computers, tablets, and phones
- External storage devices
- Monitors
- Printers
Devices will be erased upon return, so make sure that you transfer necessary files to your department or team before returning devices.
How to return equipment
Do not independently recycle or throw away any IT equipment: you must return all USC-owned IT assets to DTS or to your Dornsife department/unit. USC will need to securely erase any assets containing USC data.
Setting an autoreply
We recommend setting up an autoreply on your USC email account on your last day: even once ITS has deactivated your account, people will still be able to email you for up to a year.
